Cancellation & Rescheduling Policy
This policy outlines the procedures for cancellations, rescheduling, and attendance to ensure a fair and smooth experience for both students and teachers.
1. Student Cancellations
1.1 Advance Notice Requirement
- Students must cancel their lesson at least 1 day in advance during business hours (Monday–Sunday, 9:00–18:00) to be eligible for rescheduling.
- If a student fails to provide this notice, the lesson will be forfeited, with no option for rescheduling, refund, transfer, or reassignment.
1.2 Last-Minute & Same-Day Cancellations
- Cancellations made on the same day as the lesson start time are not eligible for rescheduling.
1.3 No-Show Policy
- If a student does not cancel in advance and fails to attend, the teacher will wait for 20 minutes before marking the lesson as a no-show.
- If the student notifies the office in advance of a delay, the teacher is required to wait but must still end the lesson at the originally scheduled time.
- If a student is absent for 10–15 minutes, the teacher must contact the office to follow up with the student.
- Teachers will receive full payment for no-show lessons, and the student’s hours will be deducted.
1.4 Unavoidable Circumstances
- In cases of illness, emergencies, technical difficulties, or other unforeseen situations, students must provide supporting evidence to the provider.
- The teacher has the discretion to decide whether a make-up lesson will be allowed in such cases.
2. Make-up Classes
- Make-up lessons must be scheduled and attended within 7 days of the canceled session.
- Make-up classes cannot overlap with the student’s regular class schedule.
- Example: If a student has a 1-hour weekly class, the make-up session must be scheduled on a different day.
- If a make-up class is not used within 7 days, the class hours will be deducted, and the teacher will receive full payment for the session or may decide otherwise at their discretion.
3. Lesson Timing & Late Arrivals
3.1 Student Late Arrivals
- If a student is 5 minutes late, the teacher may choose to extend the class by 5 minutes but is not required to do so.
- If a student is more than 5 minutes late, the teacher is not obligated to extend the class and will end the lesson at the originally scheduled time.
3.2 Teacher Late Arrivals
- If a teacher is up to 15 minutes late, they must make up for the lost time either during the session or in the next lesson.
- If a teacher is more than 15 minutes late without a reasonable reason, they must offer a full free lesson as compensation, and the student will not be deducted for the missed lesson.
4. Technical Difficulties
- If technical issues occur within the first 10 minutes of a lesson for either the student or the teacher, any lost time should be made up.
- If the teacher has consecutive lessons, they must inform the student promptly and arrange for any lost time to be compensated in the next lesson.
5. Teacher Cancellations
- Teachers must provide at least 1 day’s notice during business hours (Monday–Sunday, 9:00–18:00) if they need to cancel a lesson.
- In the event of a teacher’s absence due to unforeseen circumstances or technical difficulties, the student will be offered a make-up lesson at a mutually agreed time.
